# Call with Dave — Questions & Decisions

## 1. Scope confirmations (need yes/no)

- [ ] **Falcon 7X** — confirm this is the incoming aircraft. Your pre-proposal named it; Dave's notes just said "new jet." Need it in writing before it's baked into mockups.
- [ ] **Falcon 7X delivery date** — affects launch timing, flagship page copy, and whether we hold assets for a reveal.
- [ ] **Service pages (5)** — confirm names: Private Charter, Aircraft Management & Ownership, Adventure Charter, Medical Evacuations, Aircraft Maintenance. Any missing? Any duplicates? Any that should merge?
- [ ] **Fleet count** — confirm 4 aircraft (Falcon 7X, Challenger 604, Challenger 605, Caravan 208). Any aircraft being retired or added?
- [ ] **Root domain** — vihexecujet.com? Stay on same domain, or change?

## 2. "Out" items worth reconsidering

Dave cut these, but a few are cheap and have real value. Flag these as "we can still do a lighter version":

- [ ] **Safety Certifications** — cut as a dedicated display, but IS-BAO / ARG/US badges are trust signals that UHNW clients look for. Propose: **small badge strip on Home and footer, ~$100**, no dedicated page. Hard to justify skipping entirely.
- [ ] **Team pages** — cut entirely, but a single About page with leadership bios is standard and expected. Confirm: is there at least a team section *on* the About page? If so, that's already covered by base build.
- [ ] **Popular Destinations** — cut, but this is the biggest SEO lever on the whole site. Even 3–5 destination pages (Vancouver→Tokyo, Vancouver→LA, etc.) could meaningfully drive organic. Propose a lighter version: **template + 3 seed pages, ~$500**, VIH writes more over time.
- [ ] **Interactive Range Map** — cut, fair. Expensive. But a *static* range graphic on each fleet page is cheap and visually powerful. Is that already implied in the fleet template?
- [ ] **360° Virtual Tour** — cut, fair. Tied to photographer's deliverables anyway. Revisit post-launch.

## 3. Platform & technical decisions

### Email + SMS (for empty leg alerts)

- [ ] **Is VIH already on a marketing platform?** (Mailchimp, Constant Contact, HubSpot, etc.) If yes — do we integrate with it or migrate to something SMS-capable?
- [ ] **Klaviyo vs. Brevo** — my default recommendation is **Brevo** for this use case (cheaper, CASL-friendly, simpler UI, Dave-manageable). Klaviyo is stronger but priced for e-commerce volume. Confirm preference or leave to you to pick.
- [ ] **Expected subscriber count** — dozens? hundreds? thousands? Drives platform tier.
- [ ] **Empty leg frequency** — weekly? monthly? rare? Affects both platform cost and whether the feature is worth the build.

### CRM & sales workflow

- [ ] **Does VIH have a CRM?** (HubSpot, Salesforce, Pipedrive, nothing?) Quote wizard submissions need to land somewhere — email inbox, CRM, both?
- [ ] **Who receives quote submissions?** Dave? Sales team email? Distribution list?
- [ ] **Any existing booking / ops software** that needs to be aware of? (FL3XX, Leon, Avianis, etc.) Even if no integration is planned, good to know.

### Analytics

- [ ] **Current analytics setup** — GA4 already in place or still on UA? Access to existing Squarespace analytics for benchmarking?
- [ ] **Google Search Console access** — need this for SEO migration.
- [ ] **Conversion goals** — what does Dave want to measure? Quote requests, empty leg signups, phone calls, something else?

### Hosting & domain

- [ ] **Domain registrar** — who holds vihexecujet.com? Need DNS access for launch.
- [ ] **Hosting decision** — you host, or Dave self-hosts? If he self-hosts, does he have a preference?
- [ ] **Email hosting** — is email on the same domain? Migration shouldn't affect it, but confirm.

## 4. Content & assets

- [ ] **Photography timeline** — when's the shoot? Our build timeline assumes reference shots, but we need a rough date to plan around.
- [ ] **Falcon 7X photos/renders** — do they exist yet? Falcon/Dassault may provide official imagery; is Dave getting those?
- [ ] **Video** — who produces, what's the scope, and where does it live (hero loop, service pages, YouTube embeds)?
- [ ] **Brand guidelines / logo files** — colours, typography, existing assets. Are there official guidelines, or are we deriving from the current site?
- [ ] **Copywriting** — who writes Falcon 7X copy, service page updates, About refresh? Dave himself, internal marketing, or us?
- [ ] **Tone** — formal/institutional or warmer/aspirational? UHNW branding can go either way.
- [ ] **Languages** — English only? (Canadian aviation sometimes needs French.)

## 5. Empty-legs workflow (this is the trickiest feature to scope)

- [ ] **How does Dave currently know about empty legs?** Manual from ops? From flight scheduling software? Email from pilots?
- [ ] **Who posts them?** Dave personally, or admin staff? Determines admin UX complexity.
- [ ] **Lead time** — how far in advance does he typically know? (Affects whether alerts need to be instant vs. batched.)
- [ ] **Current subscriber list** — does he already have a list of people asking about empty legs? Import into new platform?
- [ ] **Existing empty legs on current site** — migrate history, or start fresh?

## 6. Quote wizard specifics

- [ ] **Does Dave want a ballpark price shown to the user**, or just lead capture? This is the single biggest scope swing on this feature.
- [ ] **What qualifying info is essential?** (Origin, destination, dates, pax, aircraft pref, contact info.) Any field Dave would refuse to lose?
- [ ] **Multiple variants?** Separate flow for charter vs. adventure vs. medevac, or one wizard that branches?

## 7. Commercial / logistics

- [ ] **Payment terms** — Phase 1 changed to 50/50, Phase 2 stays 50/50. Confirm Dave's ok with that.
- [ ] **Currency** — CAD or USD on invoices?
- [ ] **Procurement / POs** — does VIH need anything beyond invoice? Vendor setup forms?
- [ ] **Hard deadlines** — Falcon 7X delivery, industry events (NBAA-BACE in October), fiscal year-end, anything else driving urgency?
- [ ] **Approval chain** — is Dave the sole decision-maker, or does this need to go past anyone else (board, CFO, marketing lead)?
- [ ] **Content freeze** — confirm he won't be making major Squarespace updates during the build.

## 8. Risks to flag proactively

Worth raising before Dave raises them:

- [ ] **$9,500 is above the $6–9k range** you floated. Walk him through the itemized list so he owns any cuts.
- [ ] **Ongoing costs aren't zero** — Brevo/Klaviyo subscription, Gravity Forms license, hosting. Make sure he understands what's on VIH's tab post-launch (covered in doc but worth naming out loud).
- [ ] **Photography is the #1 timeline risk.** If the shoot slips, we can still launch with placeholders, but the Falcon 7X flagship page won't be its final self until real assets land.
- [ ] **SEO migration from Squarespace** — some ranking temporary dip is normal. Redirects minimize it but don't eliminate it. Set expectations.
