VIH Execujet
Website Proposal

---

April 2026

# **Objective**

Rebuild the VIH Execujet website on WordPress to reposition the brand as Western Canada's premier long-range private aviation provider, showcase the incoming Falcon 7X as a flagship offering, and convert UHNW visitors into charter clients.

# **Scope**

## **Website Design**

Unlike a typical build where mockups are provided, this project will begin with a design phase. We will produce wireframes and full visual mockups for key page templates to lock in site structure, UX flow, and creative direction before development. This also allows us to narrow the development estimate with greater accuracy.

Mockups will cover:

* Home
* Fleet Index (with comparison)
* Single Fleet (Falcon 7X as the flagship template)
* Charter / Services page
* Empty Legs
* Contact / Quote Wizard

The final site should be close to the mockups, but will not match exactly. Differences will generally be for responsive compatibility and ease of backend management.

## **Template Creation**

### Basic Template Creation

This includes the creation of all basic template elements:

- [ ] Header, footer, and other template areas
- [ ] Mega menu navigation (see Custom Features)
- [ ] Consistent colour palette, typography, and spacing settings
- [ ] Setup of reusable UI blocks and layouts for use around the site

The template will:

- [ ] Have a clean, SEO-friendly structure
- [ ] Use the most current WordPress with Gutenberg Editor and a modern premium theme framework with an unlimited lifetime premium licence
- [ ] Be fully responsive (mobile-first, given executive mobile usage)
- [ ] Be compatible with most plugins and additional frameworks for future extensibility
- [ ] Have a backend focused on user-friendly content management, accessible to staff without technical skills
- [ ] Not contain any hard-coded content
- [ ] Have templates ready for various content types

### Baseline Structural SEO

The new site will conform to all main technical SEO best practices, including:

- [ ] Proper heading structure for all pages and post types
- [ ] Basic schema for Organization, LocalBusiness, and relevant content types
- [ ] General technical accessibility best practices
- [ ] Clean XML sitemap
- [ ] Block "thin" pages from search engines
- [ ] Clean Open Graph meta for LinkedIn preview cards (primary social channel)

### Standard Page Creation

We will manage the creation of all pages on the new site within the given template. Most will be image \+ text layouts, with some exceptions requiring more complex sections and UI elements.

- [ ] **\~6 general pages** such as About, Team, Safety & Commitment, Sustainability / Carbon Offset (replacing the current 404), Contact
- [ ] **5 service pages**: Private Charter, Aircraft Management & Ownership, Adventure Charter, Medical Evacuations, Aircraft Maintenance
- [ ] **Special pages** with custom layout and/or dynamic elements:
      - **Home** — cinematic hero, new aircraft spotlight, fleet overview, empty legs module, trust signals, primary CTA
      - **Fleet Index** — fleet comparison table \+ grid of aircraft cards
      - **Falcon 7X (flagship)** — full custom layout, prominent positioning
      - **Challenger 604, Challenger 605, Caravan 208** — shared fleet template (hero, gallery, floor plan, amenities, specs, sample trips, CTA)
      - **Empty Legs** — redesigned card-based layout (replacing current accordion)
      - **Contact / Quote Wizard** — conversational CTA (see Custom Features)

### Post Structure and Setup

Setup of Index and individual templates for the following post types, including necessary properties (thumbnail, categorization, excerpt, etc.):

- [ ] **Posts** (Blog / Content Hub — for LinkedIn amplification and SEO authority)
- [ ] **Fleet Aircraft** (one entry per aircraft, to power the comparison table and individual pages)
- [ ] **Empty Legs** (dynamic listings for homepage module and Empty Legs page)

## **Custom Features & Functionality**

See itemized list in the **Cost** section below. These are the feature-level decisions that materially affect the budget and are priced individually.

## **Content Entry / Creation**

We will transfer all existing content from the current Squarespace site and fill in minor bits where needed. Any significant new content — including finalized Falcon 7X copy, updated team bios, and destination/route details — can be written and published by you before or after launch.

As part of the build, we will also advise on content depth and structure for SEO and AI discoverability. The current site is somewhat under-optimized on word count for key pages, which limits its authority in search results. We'll provide guidance on target word counts, heading structure, and topical coverage per page so your team can produce content that performs well.

Photography and video are being handled separately by your photographer/videographer. We will build with high-quality placeholder imagery and reference shots so final assets can be swapped in seamlessly. Where new photography does not cover existing assets, current imagery can continue to be used throughout the site.

The existing list of \~200 empty leg subscribers will be migrated to the new email platform as part of the launch.

## **Launch**

We will handle the launch of the site, including a launch checklist covering redirects from existing Squarespace URLs, SEO continuity, analytics verification, and form/quote wizard testing.

## **Hosting & Maintenance Options**

We are happy to work with any host that you choose as long as it provides WordPress support, or can make recommendations for self-hosting, or provide hosting and ongoing support through PlusROI.

Ongoing support can be provided as needed via hourly blocks or a monthly maintenance package.

### Custom Features

Each of the following has been priced individually so you can confirm or adjust scope.

| Feature | Status | Description | Cost |
| :---- | :---- | :---- | :---- |
| **Mega Menu** | In | Visual mega menu navigation with fleet thumbnails and service categories. Improves navigation across the expanded fleet and service depth of the new site. A standard dropdown menu is included in the base build at no additional cost. | $150 |
| **Fleet Comparison Table** | In | Side-by-side comparison of aircraft specs (passengers, range, speed, baggage) on the Fleet Index page. Helps visitors quickly identify which aircraft fits their trip — particularly relevant given VIHE's fleet spans regional (Caravan) to ultra-long-range (Falcon 7X). | $400 |
| **Amenities List per Aircraft** | In | Structured, visual amenities section on each fleet page (Wi-Fi, galley, entertainment, lavatory, etc.). Differentiates VIHE's premium cabin experience and matches the standard set by Anderson Air, AirSprint, and Chartright. | $300 |
| **Blog / Content Hub** | In | Blog post type with index, single post template, categories. Foundation for LinkedIn amplification and SEO authority. | included |
| **Empty Legs — Card Redesign** | In | Replace current accordion with visual card layout (aircraft image, route, date, seats available). | $450 |
| **Empty Legs on Homepage** | In | Dynamic module on homepage surfacing current empty leg opportunities. | $200 |
| **Integration with Email Notification Service** | In | Subscriber signup integrated with a marketing platform that handles eblast services and RSS email notifications, such as MailChimp. *(\~$20/mo at expected volume).* | $400 |
| **Conversational Quote Wizard** | In | Multi-step guided flow (destination, dates, passengers, contact preference) built with Gravity Forms Conversational Forms — Typeform-style one-question-at-a-time UX with branching logic and custom styling. Lowers friction vs. a traditional contact form and captures higher-intent leads. *Gravity Forms Elite license (\~$259/yr) included likely indefinitely.* | $450 |
| **Falcon 7X Flagship Page** | In | Fully custom layout treatment for the incoming aircraft, distinct from the shared fleet template. Anchors the brand's repositioning as Western Canada's premier long-range operator and drives anticipation ahead of the aircraft's arrival. | $500 |
| **Social Media Integration** | In | Footer/header links \+ LinkedIn Open Graph optimization across all pages. | $150 |
| **GA4 Analytics \+ Conversion Tracking** | In | Google Analytics 4 install with conversion events for quote requests, empty leg signups, and contact submissions. | $300 |
| **Popular Destinations Pages** | Suggested | Dedicated SEO landing pages per route (Vancouver → Tokyo, etc.) with one example optimized destination page. Bridges the gap between fleet specs and the aspirational lifestyle, while creating route-based SEO landing pages. Can also be added later. | $400 |
| **Dedicated Team Member Pages** | In | Individual SEO-indexable pages per leadership team member as a WordPress custom post type. Each team member gets a unique URL with proper Person schema and meta data — important for AI-powered search engines surfacing credentials (Jeff Wolfe's 35+ years and 10,000+ flight hours, Jon Fulton's dual TC/FAA licensing, etc.) when prospective clients research private aviation providers. Modal-based team profiles (used by some competitors) generate no SEO value. | $400 |
| **360° Virtual Cabin Tour** | Out | Interactive cabin tour (would require dedicated 360° photography). | — |
| **SMS Empty Leg Alerts** | Later | Setup of SMS notifications (Klaviyo or Brevo recommended). Includes on-site opt-in form with CASL-compliant consent, subscriber sync, and a simple admin workflow to broadcast when a new empty leg is posted. Recommended once the fleet expands (e.g. addition of a light jet) and subscriber volume grows. *Ongoing platform subscription and per-message SMS costs are billed directly to VIH (\~$30–80/mo at expected volume).* | $1,200 |
| **Interactive Range Map** | Out | Departure city selector with dynamic reachable-destinations map. | — |
| **Safety Certifications Display** | Out | Prominent badge display of certifications (IS-BAO, ARG/US, etc.). | — |

### Subtotal

| | Cost |
| :---- | :---- |
| Phase 1: Wireframes & Mockups | $1,800 |
| Phase 2: Base Build | $3,900 |
| Phase 2: Custom Features ("In") | $3,700 |
| Phase 2: Custom Features ("Suggested" — Popular Destinations) | $400 |
| **Total (with Suggested included)** | **$9,800** |

**Third-party costs billed directly to VIH (not included above):**

- [ ] Marketing platform subscription for email: \~$20–80/mo depending on list size and send volume
- [ ] Gravity Forms Elite license (for conversational quote wizard): \~$259/yr. Will be included as long as PlusROI retains license (likely many years)
- [ ] Hosting: \~$30–60/mo depending on provider

### Future Integrations (out of scope for initial build)

These integrations were discussed but are not required for launch. WordPress's open-source platform makes them straightforward to add later as a separate engagement once requirements are confirmed:

- [ ] **Sky Legs API** — once VIHE confirms with Sky Legs what's available for website integration, we can scope a small plugin to surface relevant data (e.g. fleet availability) on the site.
- [ ] **Zoho CRM** — quote wizard and contact form submissions can be routed into Zoho via webhook or Zapier so leads land directly in your existing pipeline.
- [ ] **LinkedIn 7X lead magnet** — downloadable feature brochure / spec sheet on the Falcon 7X page with form-gated download for capturing warm leads from LinkedIn campaigns.

**Payment terms:**

- [ ] Phase 1: 50% deposit and 50% on completion of mockups.
- [ ] Phase 2: 50% deposit on approval of mockups, 50% on material completion.

# **Timelines**

## **Target Launch Window**

To align with the Falcon 7X's arrival in Victoria (anticipated late June – early July), we recommend targeting a launch in **mid-June** so the site can tease the new aircraft ahead of its physical arrival. The schedule below is built to support this window, assuming a project start in early May.

## **Start Date**

We can begin the wireframe and mockup phase within approximately one week of project approval and deposit. This start date is pending availability at the time of acceptance.

After mockup completion, we recommend setting a target date for photography which can be timed with a near-complete staging site containing reference photos and video.

## **Phase 1 Completion**

Wireframes and mockups: **7–10 days** from start.

## **Phase 2a Completion**

Site development: approximately **4 weeks** from mockup approval, assuming feedback is light and content/photography tracks on schedule.

## **Phase 2b Completion & Launch**

Final Content: approximately **1 week** from staging site approval.

The most common timeline risk is photography and video. We will build with placeholder imagery and reference shots so final assets can be swapped in without blocking launch.

# **Additional Terms**

The following are our standard terms for website projects and may not all be applicable to this specific project.

**Scope Confirmation.** The proposed approach and costs are preliminary and subject to adjustment should the scope change.

**Scope Changes.** We understand that it is often impossible to foresee and confirm every detail related to scope so we expect that there may be some small changes as we move forward. However, if there are changes that significantly impact the amount of work required, we may need to compensate by limiting scope in other areas or adjusting the quote. We will discuss the options if this comes up.

**Start Dates.** We aim to start work as soon as possible, but for consistent planning we generally officially start new projects on the 1st and 15th of the month and require your clear approval at least 1 week prior to the official start date. Any deposits must be paid before the target start date to avoid the potential need to push the start into the next available start date.

**Deposit and Payments.** Official work on the project will not begin until the initial deposit payment is received. The final invoice will be issued at time of material completion of the website.

**Material Completion.** If the majority of the website is completed but awaiting content or other final detail, the site will be considered completed and will be launched as soon as we receive the final details required to do so.

**Delays.** If the project is on hold for a lengthy period due to client-side factors, there may be restart fees.

**Content Freeze.** In cases where we are migrating content from an existing website to another, we ask that clients let us know if they are concurrently updating content on their live site while we are building the new site so we can make appropriate plans to sync the content on launch. By default, we assume that there is no need to sync content before launch unless this issue specifically comes up during the staging process. There may be extra fees related to syncing content after the new site is launched.

**Content.** While we will advise on best practices for conversion, you are responsible for writing all original content and providing suitable images except in areas specifically written into the scope. Where it's reasonable to do so, we will gather content from your existing website. In places where new content is required, we will insert placeholder content which can be easily replaced by you or by us through a single comprehensive content document.

**Training.** We will provide basic guidance on features within the scope of this project so that you will be able to manage the day-to-day functionality. Full training in advanced WordPress features or template design is not included.

**Launch.** We will handle the launch of everything we've built. If launching features on your current website host, we may need access to your website's cPanel, FTP, or DNS.

**Support.** We will include support for bugs or content management training related to features developed in the scope of this project for a period of 30 days after material completion. Changes or new features that were not outlined in the original scope can be done as part of a future engagement or maintenance package.

**Future Maintenance.** We build our sites so that they can be completely maintained by the site owner. However, we can provide ongoing services which include basic web maintenance, or we can offer small maintenance packages.
