Hi Rob, I see your company is going strong, and our law firm is transitioning
into a new phase, having moved our offices over the last couple of months to a
new building across the street from the courthouse.

It is a good time for us to finally commit to refreshing our website.

We will be having a photographer reshoot our lawyers and office location over
the next couple of months.

Are you able to tell by looking at our website what a rough ballpark cost for
refreshing it is so we can budget.

We are overdue for this refresh and I look forward to hearing back from you.

**Tue Aug 4, 07:16 — Rob Cooper → Darren (+ CC team, + Rian)**

Great to hear from you. I hadn't heard about the move — congratulations.

We've been doing a ton of work in legal and can definitely update the site to
help address your goals as you move forwards.

I've cc'd Rian on this — he worked on the original site and still oversees all
aspects of our web development.

I'll let him ask a couple of questions, but I can share that your options will
range from a minor facelift to a complete rebuild.

I would ordinarily suggest working with the current site. However, with the
advent of AI, there are several areas we can build into a new site that will
really help you appear in AI Search and Citations when people use tools like
ChatGPT and Gemini (or even just to appear in the Google AI snippets now showing
at the top of most informational searches).

Our current site architecture includes all the AI-related features and
structure. So, if you want to be a "first mover" on that path, rebuilding would
likely be quicker than fixing up the old site.

**Tue Aug 4, 07:26 — Darren → Rob**

Hi Rob, I'm interested in moving in the AI direction, but could we get a price
on both options. Thanks.

---

**Tue Aug 4, 07:44 — Rob → Darren**

Rian and I will meet this morning and discuss. He may have some more questions
but we'd be more than happy to do that.

One question we'll have for sure though: from a design and brand perspective are
you looking to make any major changes or are you thinking that the updated
website would be generally following your current Brand conventions?

---

**Tue Aug 4, 07:57 — Darren → Rob**

Hi, we want to stick with our current brand conventions, but update the general
style and the photos.

---

**Fri Aug 7, 10:35 — Rian → Darren (+ CC team)**

Congratulations on the new office!

Before putting numbers together I had a proper look under the hood of the
current site to refresh myself on where we left off, and two things stood out.
First, the structured data that tells Google and AI tools about the firm still
lists the old Wilson Street address so the refresh is timely for more than one
reason. Second, you've published over 400 articles since 2014, which is a
serious asset in the AI-search era, but none of it is currently credited to your
lawyers in a way AI tools can read. Fixing that is some of the highest-value
work available to you.

The attached proposal has the details, but the short version for budgeting:

- Backend rebuild + polish: keeps the current design, complete modern rebuild
  underneath: $4,400
- Designed upgrade: the same rebuild plus a real facelift, with mockups for your
  sign-off before we build: $5,900
- Either option can add an AI search optimization layer (firm and lawyer
authority profiles, authorship tagging across your article library): $900

Timing works out well: we'd wrap up right as your new photography arrives, so
the new site launches with the new photos.

Hi guys, we want to go with option two. But I want to get the Reception area
finished first because that'll be part of the photography we do, and also give
everyone a few months to lose some weight. Perhaps we could pencil this in for
around November? I'll work on booking a photographer for October, does that
work?

---

**Fri Aug 7, 15:02 — Rob**

Sounds great!

---

**Mon Aug 10, 11:38 — Rian → team**

Looking forward to getting this site updated. FYI: I logged into the current
site to prep a bit and made a few security updates, as some of the older plugins
have caused security issues for other clients.

Should we schedule an October 1 start date so we are ready to launch
mid-to-late November, or schedule it for Nov 1 for a December launch? Note, the
photography and site build don't necessarily need to be timed together. If you
want to turn around as quickly as possible after photography, we could build the
mockups and site using placeholder images. Then, it's just a matter of swapping
in the real photos upon arrival and launching. That method may also help guide
the photographer to take exactly the right images.

One more question: would you like the same photographer as before? I can
re-introduce you if you don't have his contact info.

---

**Mon Aug 10, 11:45 — Darren → Rian**

Hi Ryan, let's move forward with the quicker timeline, and leave placeholders
for the photographs.

I have arranged for another photographer, but thank you for the reintroduction.

Let me know what you need from us in order to move things forward.

---

**Mon Aug 10, 16:24 — Rian → Darren**

Will do!

We'll start creating mockups using placeholder images as soon as possible.
We'll officially plan to start the process on Sep 1, but we may even be able to
get a head start depending on schedule.

We do not need much from you to start since we already have access to
everything. We could use any thoughts you have on the design. I know we're
taking inspiration from the current design and brand while modernizing it.
However, if you have any specific thoughts or favorite sites, please send them
my way and we will incorporate those thoughts into the mockups we send.

We'll also get a deposit invoice out to you next time we're processing those.
Did you want to proceed with the AI Schema option as well? If you're unsure or
want to discuss that option, we don't need to decide right now.

---

**Mon Aug 10, 17:02 — Darren → Rian**

Hi Rian, can I call you and have a brief discussion about design. There are some
things I want to avoid and I think a quick call is most efficient.

---

**Mon Aug 10, 18:14 — Rian → Darren**

Sure, when would you like to chat? I'm free tomorrow afternoon, Wednesday AM.

---

**Mon Aug 10 (evening) — Darren → Rian — THE DESIGN DIRECTION**

Hi Rian, let's try to do this by email.

Maybe after this description you could send me a couple of examples online and I
can rank them for my preference as examples before you get started.

The mentality of our law firm is a league, which is a group of organized teams.
We are not lawyers supporting clients. We are teams of legal professionals
clients. It would be good if that permeated the website.

I want our contact information to be at the top of the website. It bothers me
when I go to a law firm's website and I have to scroll down to the bottom to
find a [expletive] phone number in small print. I think you taught me this. Our
contact information needs to be front and centre and hit you in the face from
the instant you're on the page.

I don't like large expansive introductory images and videos. I don't care what
the Rocky Mountains look like or what a pod of orcas look like. I want to see
our practice areas laid out in simple clickable zones that people will say "yes
that's my issue" and click on that without having to scroll down pages and
pages.

We're not trying to impress people with a visual dynamic of our webpage, because
that show has run its course years ago. People are no longer impressed by fancy
websites.

We are trying to get our clients to be able to match their issues with our
practice areas as quickly as possible and get them to contact us, not to impress
them with drama.

That being said, of course, it needs to look modern, clean, sharp, organized,
and a little different than most websites, if possible.

I trust your judgment.
