--- title: Managing staff profiles excerpt: Add faculty and staff, set their photo, position and department, and control where they appear. tags: [staff, people, faculty, directory] target: client:brentwood ---

Every faculty and staff member has a profile — their name, photo, position, credentials, biography and department. You manage these under Staff in the left-hand menu. The same profile is what appears in the faculty and section listings across the site, so you only ever edit it in one place.

How do I add a new staff member?

  1. Go to Staff and click Add New Staff Member.
  2. Type the person's full name (First Last) in the title field at the top — this is the name shown on the site.
  3. In the Featured image panel on the right, click Set featured image and upload their photo.
  4. Fill in Title / Position and Credentials in the Staff Details box.
  5. Write their biography in the main content area.
  6. Tick their Department in the Departments box on the right.
  7. Click Publish.

Note

Use a clear, upright headshot. Portrait photos around 800 pixels wide or larger look sharpest; the site crops them to a consistent shape automatically.

How do I change a staff member's photo?

  1. Open the person under Staff.
  2. In the Featured image panel, click the current photo, then Replace (or Remove featured image and set a new one).
  3. Click Update.

What do "Title / Position" and "Credentials" show?

These two fields sit in the Staff Details box and appear under the person's name wherever their profile is shown.

FieldWhat to put in it
Title / PositionTheir role and department, e.g. Teacher, Mathematics or Director of Admissions.
CredentialsDegrees and qualifications, e.g. B.Sc., M.Ed.

How do I put a staff member in a department?

Departments control how staff are grouped and filtered on the site. On the staff edit screen, find the Departments box on the right and tick every department the person belongs to. To create a new department, click Add New Department in that box and type its name.

Changing the order staff appear in

By default, staff are listed alphabetically by last name. The site works out the last name from the Last Name field in the Profile (self-service) box — so if someone sorts under the wrong name (a two-part surname, a hyphen), set their Last Name field explicitly and the order follows.

When you display staff on a page (see How do I show staff on a page?), the block also lets you switch the order — by last name, by title, by the manual Order value, or by date. To hand-pick a sequence, set an Order number in the Page Attributes box on each profile (lower numbers come first) and choose "Order" in the block.

How do I show staff on a page?

Staff are placed on a page with one of two blocks. Edit the page, click the + to add a block, and search for its name:

With the block selected, use the settings panel on the right to filter by Department, set the number of columns, choose the order, and cap how many show. Leave the department filter empty to show everyone.

Note

You don't have to add each person to a page by hand. The block pulls profiles in automatically — add a new staff member to the right department and they appear in that department's grid on their own.

How do I let a teacher edit their own profile?

A staff member can update their own profile if their profile is linked to their login account. On their profile, find the Connect User Account field in the Profile (self-service) box, search for their name, and select their user account. Click Update.

Once linked, they sign in and land straight on their own profile editor at /my-profile — they can change their photo, biography, credentials and departments, but nothing else on the site. The separate guide on updating your own staff profile covers what they see.

How do I remove or hide a staff member?

You have two options, depending on whether the change is permanent:

Important

Trashing a profile removes it from every page it appears on. If you only want them off the site for a while, use Draft instead — that way the photo, biography and everything else are still there when they return.
